What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

We do use contact forms on our website aimed at collecting only the relevant information in order for us to handle your enquiry. We do require you to agree to our terms and conditions and privacy policy though we do provide alternative contact details if you wish to contact us directly away from the website. We only collect the information that you enter into the contact form and keep them as long as required to handle your enquiry.

Using our Live Chat

If you use our live chat section of the website, any information that you give us via this section will be collected and processed using Zendesks systems in order to transfer them through to us. Zendesk processes the information through its servers hosted within the EU.

Invoicing, quotes, and contracts

All of our quotes and invoices are generated and stored using Xero. Any relevant documents (such as contracts created between us and you) would also be stored alongside your contact information.

Some of the information we may collect are;

  • Your name
  • Your email address (to email your quote, invoices etc)
  • A contact phone number
  • A billing address

Xero processes all European customers data in New Zealand (which is recognised by the EU as a safe country).

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

We, by default don’t create user accounts and don’t operate any type of forum on the website.

We do utilise Google Anayltics which will set cookies on your computer in order to view statistics on general traffic to the website. We only allow Google Analytics to set cookies if you click the box to allow it in the privacy pop up at the bottom of the screen.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

The only form of analytics we use on the website are Google Analytics. We have set this up to anonymise your IP address in order to protect your privacy and do not collect any other personally identifiable information. We use Google analytics to measure the volume of traffic to the website, which other sites have referred traffic, and what pages are visited most frequently. Who we share your data with

Other than those explicitly outlined in this document, we do not share your information with any third parties. If there comes an instance where we need to, we would ask your permission first.

If you use our live chat services on the website, this information is processed by Zendesk’s servers.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you undertake our services, we are required by law to retain invoice data for 6 years after a contract has ended. Once the personal data is no longer needed, we will destroy it securely.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

We protect your information on the website by using SSL to encrypt any information transmitted between our website and any other device. This means any information entered via our contact form is not sent in clear text and emails us directly.

We use a firewall on our website to prevent any unauthorised access to the website and any information contained within. We are notified upon any breach to the website so we can take the appropriate action to resecure the website.

We do link to other websites in places. We are not responsible for the content, practices, or privacy policies for these third party websites.
